Stage three

The services.

Built from the top down out of the list the audit produced. Each item enters the work with two figures: the hours per month it releases and the effort to build it. Once it is running, the hours are measured again.

About the audit

How we work

The ratio sets the order, not preference.

The list from the audit already comes ordered: at the top sit the items that release the most hours for the least effort. The choice remains yours, but that is the default order, and any departure from it is argued in figures.

Each automation is built, put into use alongside the people who will work with it, and watched for a period. At the end the same operation is measured again, by the same method as in the audit. The difference between those two measurements is the only result we recognise.

We are not tied to a single technology and we do not ask you to replace tools you already have. Most serious systems expose a way in and a way out; that is where the work happens.

The services

Three services, not a catalogue.

The audit produces an ordered list. What gets built from it falls into one of these three, or into several.

CRM

A sales system set on your own process, not one that asks you to bend your process to fit it. Past two million euro in turnover the process is already yours, and more often than not it is the very advantage you hold over the competition.

  • A pipeline on the real stages of your sale
  • The client file with the whole history: enquiries, quotations, contracts, jobs, invoices
  • Quoting from existing data, with the firm's prices and rules
  • Contracts drawn from the quotation, with electronic signature
  • Activities, deadlines and alerts, for each person
  • Enquiries assigned against written criteria, not to whoever is free
  • Escalation rules for when an enquiry sits untouched too long
  • Commissions, targets and results, all on the record
  • The funnel and the forecast, from the real state of open quotations
  • Reasons for losing a deal, chosen from a list rather than typed freely
  • Rights by role: who sees what, and who may change what
  • A written trace for every change, with author and time
  • Your own fields, added without costing you a new version
  • Correspondence templates, with the data filled in on their own
  • Duplicates caught on entry, not six months later
  • Connections to the ERP, to accounting and to the office tools
  • Import from the spreadsheets you keep today
  • A complete export, at any time, in formats you can leave with

Mobile application

The same data, on the phones of the people who are not at a desk. Not the desk screen shrunk down, but exactly what the person in the field needs, in the order they need it.

  • The client file, available without signal, syncing when it returns
  • The estimate or the order, drawn up on site
  • Photographs and documents attached straight to the job
  • The client's signature on screen, with proof kept on file
  • The day's schedule, with the route and the confirmations
  • The job status changed with one tap, not with a call to the office
  • Timesheets and expenses, from the phone
  • Barcode scanning on equipment and on parts
  • Alerts only for what needs an answer today
  • Search across everything the firm holds, in a single field
  • The same rights as in the CRM: nobody sees more on a phone than at a desk
  • One application on Android and on iPhone, on the same data

Finance

Automation

We connect what you already have, so that what repeats runs without intervention. Below, by department, what is asked for most often.

  • Incoming invoices collected and classified, from e-mail and from portals
  • Payments reconciled against the bank statement
  • Receivables tracked, overdue accounts flagged in stages
  • Recurring invoices issued and sent
  • Filing with the tax authority, and the status of each document tracked
  • The cash position, compiled and sent as it stands
  • Expense claims, from the photograph of the receipt through to the accounts
  • Internal approval of invoices above a set threshold
  • Receipts from several payment channels reconciled
  • Month-end close: what is missing, and who needs telling
  • Profitability by client or by job
  • Alerts when a cost centre goes over budget

Sales

Automation

  • Enquiries from every channel gathered in one place
  • Qualified against written criteria and assigned to the right person
  • The first reply sent in minutes, not the next day
  • Quotations drawn from data the firm already holds
  • Quotations left unanswered, chased on a schedule
  • Clients who have not bought in a year, approached again
  • Meetings arranged without an exchange of messages
  • The client file prepared ahead of the visit
  • The contract generated from the quotation, with electronic signature
  • Handover to operations, carrying everything promised to the client
  • The sales funnel, with the losses at each stage
  • The sales forecast, from the real state of open quotations

Operations

Automation

  • Jobs scheduled and crews notified
  • Confirmations and reminders sent to clients
  • A voice agent that answers calls outside office hours
  • Orders from several channels gathered into one queue
  • Work allocated by availability and by competence
  • Deadlines tracked, with warning before they are missed
  • The job sheet drawn up on site, by dictation
  • Delivery confirmed and the job closed
  • Client complaints triaged and assigned with a deadline
  • Stock watched against thresholds, with the order prepared
  • The daily report, compiled from what actually happened
  • A daily dashboard for whoever runs operations

Human resources

Automation

  • Applications collected and screened against written criteria
  • Interviews arranged without an exchange of messages
  • The hiring file assembled without repeated correspondence
  • New joiners taken through induction, step by step, with progress tracked
  • Timesheets, leave requests and their approval
  • Documents with expiry dates: medical checks, safety briefings, certifications
  • Periodic reviews, scheduled and followed up
  • Internal requests in one place, each with a response deadline
  • Turnover and absence figures
  • Contract end dates and probation periods, flagged in advance
  • Equipment issued and returned, on the record
  • Leaving the company: access withdrawn, against a closed list

Legal

Automation

  • Deadlines and obligations tracked without a diary
  • Routine contracts drawn from existing data
  • Electronic signature and archiving
  • Documents checked before signature, against a fixed list
  • The contract register, with warning before expiry
  • Counterparties checked against public registers
  • Internal legal requests, with a deadline and a written answer
  • The processing register and data subject requests
  • Powers of attorney and signature limits, kept current
  • Correspondence with deadlines: receipt, assignment, acknowledgement
  • The litigation file, with documents gathered from the systems
  • Contractual exposure reported to management

Procurement

Automation

  • Requests for quotation sent to suppliers at once
  • Offers compared against criteria fixed in advance
  • Internal approval of spending, against thresholds
  • The order raised from the approved request
  • Orders and delivery dates tracked
  • Goods received and matched against the invoice
  • The register of framework agreements and negotiated prices
  • Alerts when a price departs from the contract
  • Suppliers rated on deadlines met and complaints raised
  • Replenishment calculated from consumption
  • Supplier documents tracked to their expiry
  • Spending reported by category and by supplier

The fee

Set after the audit.

We cannot give a price before we know what is being built and how many hours it releases. What can be said in advance is how it is calculated.

How it is set
What it coversFee
Building
Set after the audit, on the estimated effort of the items chosen from the list and on the order chosen.
After the audit
Monthly maintenance
Monitoring, corrections and adjustment to changes in the company and in the connected systems. Calculated as a percentage of the implementation value.
2% plus VAT monthly, minimum €500

Limits

What we do not automate.

We do not automate a process the company cannot describe. Without a description there is no measurable duration, and without a duration there is no figure to justify building anything.

We do not automate decisions that carry responsibility. A system can gather the data, prepare the decision and deliver it on time; the signature remains a person's, and the time gained is everything that comes before it.

We do not automate anything under an hour a week. Building and maintaining it exceed, in the first year, what would be saved.

First step

It starts with a measurement.

We do not sell automation over the telephone and we do not quote without an audit. The first conversation takes an hour and costs nothing.
