You have built a company that cannot run without you.

Not because your people are not good. Because the company grew faster than the order inside it, and you are the one covering the difference, in hours. We measure how many, and where they go.

The consultationThe digital audit

Order in the processes. Time in the company.

The situation

The same invoice is entered four times.

Nobody decided this. It settled in over years, as the company added one more tool for each new problem. Today, the connection between those tools is made by your people. By hand.

  • The same information, several times over

Typed into three places because the systems do not speak to each other. Nobody complains, because each time takes two minutes.

  • The work waiting on a signature

Ready on Tuesday, gone out on Friday. In between nobody worked on it; it sat.

  • Looking for the latest version

Three people ask a fourth where the document is, what was agreed, and who replied to the client.

  • Work done twice

Because the first time it was not visible, not communicated, or not recorded anywhere.

  • The report compiled by hand

Someone assembles into a spreadsheet figures that already exist in two systems, once a week, for years.

  • What cannot move without one particular person

The company works. Until that person takes leave.

Each of these has a duration and a frequency. Multiplied, they give hours per month. That is the only figure we place at the base of any recommendation — and it is usually larger than anyone expects.

How we work

Three stages, in order.

We do not begin with tools. We begin with the measurement. Tools come last, if they come at all.

The consultation

An hour or two, with you and with the people who run the company. We establish whether there is enough time to recover to justify an audit. Sometimes there is not, and then we stop there.

No fee

The audit

Two weeks of work inside the company, on four pillars. At the end, a report: the hours each process consumes monthly, the digital rating from 1 to 10, and the ordered list of automations.

from €5,000 plus VAT

The automation

Built from the top of that list down. The audit obliges you to nothing: the report is yours and you may take it anywhere.

Examples

Where the most hours are usually recovered.

The list below is not an offer and it is not a menu. These are things we build routinely, grouped by function. Which of them apply to you follows from the measurement, not from here.

Finance

  • Incoming invoices collected and classified, from e-mail and from portals
  • Payments reconciled against the bank statement
  • Receivables tracked, overdue accounts flagged in stages
  • Recurring invoices issued and sent
  • Filing with the tax authority, and the status of each document tracked
  • The cash position, compiled and sent as it stands
  • Expense claims, from the photograph of the receipt through to the accounts
  • Internal approval of invoices above a set threshold
  • Receipts from several payment channels reconciled
  • Month-end close: what is missing, and who needs telling
  • Profitability by client or by job
  • Alerts when a cost centre goes over budget

Sales

  • Enquiries from every channel gathered in one place
  • Qualified against written criteria and assigned to the right person
  • The first reply sent in minutes, not the next day
  • Quotations drawn from data the firm already holds
  • Quotations left unanswered, chased on a schedule
  • Clients who have not bought in a year, approached again
  • Meetings arranged without an exchange of messages
  • The client file prepared ahead of the visit
  • The contract generated from the quotation, with electronic signature
  • Handover to operations, carrying everything promised to the client
  • The sales funnel, with the losses at each stage
  • The sales forecast, from the real state of open quotations

Operations

  • Jobs scheduled and crews notified
  • Confirmations and reminders sent to clients
  • A voice agent that answers calls outside office hours
  • Orders from several channels gathered into one queue
  • Work allocated by availability and by competence
  • Deadlines tracked, with warning before they are missed
  • The job sheet drawn up on site, by dictation
  • Delivery confirmed and the job closed
  • Client complaints triaged and assigned with a deadline
  • Stock watched against thresholds, with the order prepared
  • The daily report, compiled from what actually happened
  • A daily dashboard for whoever runs operations

First step

One hour, at no fee.

That is how long the first conversation takes. You leave it with an order of magnitude for the hours lost each month, even if we never speak again.
